  • Travel and visa documents you send us: for example passport copies, visa and work permit files, photographs, flight and hotel details, employment or appointment letters and company documents needed for a specific case.

  • Booking and invoicing details: traveller names, itineraries, hotel and transport arrangements, and the billing details of your organisation.
  • Website technical data: basic information such as browser type and pages visited, only where cookies are enabled (see section 9).

3. Why we use your information

  • to reply to your enquiry and prepare a quotation;
  • to arrange the services you request, such as hotels, ground transport, airport protocol, and visa or work permit support;
  • to prepare and submit documents to airlines, hotels, transport providers, embassies or government authorities on your behalf;

  • to meet legal, tax and regulatory obligations that apply to us.

We do not sell your personal information, and we do not use passport or visa documents for marketing.

4. WhatsApp and email communications

We communicate with clients mainly by WhatsApp, email and phone. WhatsApp is a service provided by a third party, and messages sent through it are also handled under that provider’s own terms and privacy policy. Email and messaging are convenient but are not perfectly secure channels. For sensitive documents such as passport copies, please use the method we agree with you for your case, and please do not send identity documents through the website enquiry form.

We may send you service messages about your booking or case. We will send you marketing or introductory messages only where this is appropriate and lawful, and every such message will tell you how to opt out. You can ask us to stop at any time.

5. Who we share information with

We share personal information only with service providers and authorities that are needed for the specific task, and only the details needed for that task. Depending on your request, these may include:

  • airlines and other transport operators;
  • hotels and serviced apartment providers;
  • ground transport and airport service providers;
  • embassies, consulates and government authorities involved in visa, work permit or related processes;
  • professional advisers, where needed to protect our legal rights or where the law requires it.

Where we use partners to deliver a service, we ask them to use your information only for that service. We do not otherwise disclose your information unless the law requires it.

6. Storage and retention

We keep your information only for as long as it is needed for the purposes in this policy, including to complete the service, answer questions afterwards, and meet legal and accounting requirements. Retention period: we keep personal information for 2 years after the service or enquiry ends. When the retention period ends, we will delete the information or return it to you, unless the law requires us to keep it.

7. Security

We take reasonable technical and organisational steps to protect personal information from loss, misuse and unauthorised access. These include limiting access to the people who handle your file, and asking that documents are shared through an agreed channel. No method of storage or transmission is completely secure, so we cannot promise absolute security. If we become aware of a problem that affects your information, we will tell you as required by law and as appropriate. Client documents are stored in Google Drive with access limited to the people handling your file.

  • correct information that is wrong or out of date;
  • delete your information or limit how we use it;
  • stop sending you messages.

To make a request, email contact@traveldeskbd.com. We may need to confirm your identity first, and we may need to keep some information where the law or an ongoing case requires it. We will respond within a reasonable time.

9. Cookies

Our website may use cookies and similar technologies so that it works properly. You can control or delete cookies in your browser settings.

10. International transfers

Some tools we use, such as email or WhatsApp, may store or process data on servers outside Bangladesh. When we arrange travel or visas abroad, we also need to send necessary details to airlines, hotels, embassies or partners in other countries, for example in the Gulf region. We send only what is needed for the task, and we take reasonable steps to choose providers that protect information appropriately.
